This release fixes several billing, invoicing, and AI notes issues that practices would have noticed, plus adds the ability to post to Facebook and choose how digital quotes are sent to patients.
Highlights
- UI UpdateSend Digital Quotes via Email, SMS, or Both The Send Digital Quote modal now lets you choose how to deliver the quote — by email, SMS, or both at once. Previously, sending via both channels silently did nothing; now all three options work reliably.
- Open any invoice and click ‘Send Digital Quote’ to see the new Email / SMS / Email & SMS selector
- Defaults to Email, so your existing workflow is unchanged unless you want to add SMS
- Patients without a formatted phone number on file are now handled gracefully, with a clear error message if the SMS can’t be sent
- Membership Billing Won’t Charge on Expiration Day Members were incorrectly being charged on the same day their membership was set to expire. This is now fixed — memberships end cleanly on their expiration date without triggering a final unwanted charge.
- Memberships with an end date set will no longer generate a charge on that expiration date
- Failed payment retries will no longer be rescheduled to the expiration date
- The subscription will deactivate properly at the end of the final billing cycle
New Features
- UI UpdatePost to Facebook You can now publish social media posts directly to Facebook from Prospyr, in addition to Instagram. The social media post creation flow has also been updated with design improvements.
- Create a post and choose Facebook as your publishing destination from the social media page
- Instagram posts no longer show a title field (Instagram doesn’t support titles)
- The caption field is now a plain text area for easier writing
Improvements
- Provider Order Respected on Booking Page The order in which providers appear on your online booking page now reflects the provider display order you’ve configured in your workspace settings.
- Providers will appear in your preferred order on the booking page’s provider selection step
- Adjust provider order in your booking page settings to control what patients see
- Staff Notification Workflows Now Deliver Automated workflows with a ‘Send Staff Notification’ step were failing silently for most practices. These notifications will now be delivered correctly.
- Staff notification steps in your automation workflows will now fire as expected
- No changes needed on your end — existing enabled workflows will start working automatically
- Manually Added Leads Won’t Trigger Form Automation When staff manually create a new lead profile, automated sequences designed for form submissions (like welcome drip campaigns) will no longer fire incorrectly.
- Leads added manually by staff will not receive automated ‘form submission’ messages
- Patients who actually submit a lead form will still trigger the correct automations
- Reduces unwanted automated messages reaching patients who were added by hand
Bug Fixes
- AI Notes Preserve Face Diagram Placeholder When generating AI notes for neurotoxin appointments, the face diagram placeholder was being silently removed from the completed note, preventing nurses from marking injection sites. This is now fixed.
- Face diagram placeholders in neurotoxin note templates will now be preserved after AI note generation
- Affected patients can regenerate their notes to get the face diagram back
- Section headers in AI-generated notes will now format correctly as headings
- Out-of-Stock Warning Hidden on Paid Invoices Paid invoices were incorrectly showing ‘available: 0’ out-of-stock warnings on line items even after a purchase was successfully completed and inventory was properly deducted.
- Invoices with a ‘Paid in Full’ status will no longer show out-of-stock badges or alerts
- Inventory availability calculations now also account for base stock levels, not just location-specific stock
- Reduces confusion for staff reviewing completed invoices
- Time Clock Popup Displays Correctly on Schedule The time clock popover in the header was being hidden behind the Schedule page’s layout. It now appears on top correctly, and the clock-out confirmation dialog no longer gets covered.
- Open the time clock from any page, including the Schedule, without it being obscured
- The clock-out confirmation dialog now appears cleanly above all other elements
- Reactivated Staff Can Accept New Invites Staff members whose workspace access had been deactivated were unable to accept a new invite link. Sending them a new invite will now correctly reactivate their access.
- If a staff member was previously deactivated, resending an invite will restore their access
- No manual workarounds needed — the invite flow handles reactivation automatically
